Authors Guidelines
SHORT PAPER SUBMISSION

Authors with abstracts accepted as ORAL or BRIEF ORAL presentations must submit their short papers by 14 July 2026
-
Authors with an abstract accepted as a POSTER presentation are NOT expected to provide a short paper paper.
File Naming Convention
Name files as follows: TopicNumber_Name_FirstName_AbstractNumber
Example: 1.1_Smith_John_45

Submission process

Upload your files via the abstract submission portal (link below)

Access to the portal : use the same account/login credentials as your abstract submission.

Email submissions will not be processed

During upload, you must confirm:
-
Template Compliance: "I confirm that I have strictly adhered to the organizers' guidelines for preparing my short paper, using the official template provided"
-
Final Version: "I confirm this is the definitive version of my paper".

Publication Responsibility: "I acknowledge that my paper will be published electronically exactly as submitted, without editorial intervention from the organizers. I am solely responsible for layout, academic content, and linguistic accuracy".

ORAL PRESENTATIONS
1) IMPORTANT INFORMATION for PRESENTERS OF ORAL OR BRIEF ORAL COMMUNICATIONS:

Language: All presentations must be delivered in English. No translation services will be provided.

Attendance: Only in-person presentations are permitted (no videoconferencing or pre-recorded submissions).

Oral Presentations: 10 minutes of presentation

Brief Oral Presentations: 5 minutes of presentation
-
Q&A: Additional time for questions will be allocated at the end of the session.
Strict Adherence: Presenters must respect these time limits to ensure fairness. Session chairs will enforce these guidelines rigorously.
2) INSTRUCTIONS FOR THE PREPARATION OF YOUR PRESENTATION:

All presentations should be made in 16:9 landscape format and saved in pptx or ppt format,
USING THE OFFICIAL TEMPLATE (soon available) -
Number of slides: please prepare 1 slide per minute.
POSTER PRESENTATIONS
1) IMPORTANT INFORMATION FOR POSTER PRESENTERS:
The authors will be invited to be present beside their posters during coffee breaks, lunches, and the networking event scheduled on Wednesday, 28 October late afternoon to interact with participants.
2) INSTRUCTIONS FOR THE PREPARATION OF YOUR POSTER:

Posters must be displayed VERTICALLY.

Poster format: use the OFFICIAL POSTER TEMPLATE

Poster dimension: A0 print, i.e. 84.1 cm wide x 118.9 cm high.
Authors are responsible for having their posters printed before they come.
3) ONSITE INSTRUCTIONS:
-
Presenters must go to the preview room upon arrival or no later than 60 minutes prior to the start of their session to deposit their presentation.

Presentations will be managed centrally. Presenters do not need to bring their own laptop or USB key to the conference room. It will not be possible to upload your presentation to the PC at the lectern.

3) ONSITE INSTRUCTIONS:
Schedule for display and dismantling:

Posters must be set up in 28 October , starting at 08:00 and imperatively before 10:30. Fixing material will be given to you on arrival.
Please refer to the poster number you have been given to locate your poster board in the display areas.

Poster must be removed in 30 October, from 16:15 and imperatively BEFORE 18:30
The Organizing Committee declines any responsibility for loss or damage of all posters that have not been removed by the authors according to the above schedule.
Any poster not removed after this deadline will be destroyed
